Letter Writing Tips and Keys
Letters are still the prime selling vehicle in most direct mail. Letters are phenomenal media…often the battlefield where sales are won or lost. Writing impactful letters, letters that SELL, requires skill. That’s where we come in! We have professionals on staff that do it for a living and do a great job at it.

Our copywriters use the powerful writing formula called “AIDA.” The first A denotes, Get Attention. The “I” is for arousing Interest. The D is to stimulate Desire and the last A is asking for Action. For instance, a four-sentence letter following that principle would be "You are about to die of arsenic poisoning. We have an antidote. Wouldn't you like to take it? Call our 800 number now."

The Psychology of the Letter
In the AIDA formula, the first A is the most important: Getting attention. This is accomplished in the opening of a letter. Some people claim 90% of the success of a letter is based upon the opening. Letters should always be personalized in the first person singular, "I.” Not "We at Acme Antidotes", but "I.” Letters should be addressed to a single person, you. Letters should be personal, not impersonal and commercial-sounding. For example, "I would like to tell you what has changed my life." Not, "Acme Antidotes offers life changing products for Americans." There is a world of difference in these two sentences. Keep whom you’re writing to in mind as you write your letter. How would you have a real conversation with this person?

Letter Length
How long should your letters be? There's no predetermined length. Your letters should be as long as required to say something meaningful. Recently, a fourteen-page sales letter was the best of several reviewed. The people writing this sales letter had a lot to say about their products and it took fourteen pages to share their distinctives. Yet other hard-hitting sales letters can be composed in one page. As you are writing your letter, ask yourself, "Is this meaningful and relevant?" Brevity with relevance takes mastery. Often, “less is more.”

Another secret: Edit, and then edit, and edit some more! After you have drafted the letter, read it over and over again taking out words and phrases that are not necessary. Letters seem to always get better and more refined through this process.

Short Words and Sentences
Another secret is to use a preponderance of words that contain only one or two syllables. No matter how technical, sophisticated or intelligent your audiences may be, scanning a letter crafted with lots of short words is considerably easier than one with longer words. This is how people read direct mail.

Additional suggestions: Try to keep sentences under 20 words. Limit paragraphs to less than 150 syllables. Simple, light, short, airy, active sentences keep the letter moving.

Additional Keys to Successful Letters

• The crucial sections of a letter are: (1.) The headline; (2.) The opening two paragraphs; (3.) The “P.S.,” and (4.) The headings and sub-headings.

• Envelope testing is very important. You have to decide if you’re going with a one-to-one correspondence strategy vs. the utilization of an envelope as “store window.” In B2B mail to executives, one-to-one almost always wins. Promotional envelopes haven’t worked for most mailers in recent years.

• The more segmented the audience, the more specific the message can be. The more specific the message, the greater its appeal and the greater the results.

• Pay attention to the product’s visual appearance such as format, graphics, paper stock and type.
